Duties and Responsibilities: The Administrative Assistant provides administrative support to ETD's Assistant Attorneys General, Paralegals, and Analysts. The Administrative Assistant provides direct administrative support to the Division Chief, including scheduling meetings, managing calendars, coordinating staff meetings, and answering and returning phone calls. The Administrative Assistant also processes requests for authorization; manages workflow; maintains ETD's case management database; trains new staff on administrative procedures; manages ETD's records; and receives and redirects constituent communications. The Administrative Assistant serves as ETD's contract manager and is responsible for distributing Requests for Qualifications; preparing consultant contracts; coordinating the contract approval and execution process; processing consultant invoices; and tracking contract budgets. The Administrative Assistant also serves as ETD's contact for divisions across the office, including the Executive, Human Resources, IT, Budget, and Operations Divisions.
Job Qualifications: Associate or bachelor's degree or an equivalent combination of related education and administrative assistant or legal assistant experience is required. Applicants must possess strong organizational and communication skills. Applicants must be reliable, be detail-oriented and accurate, be able to manage and prioritize multiple tasks, and be able to work under pressure and time constraints. Applicants must be skilled at working with professionals with diverse backgrounds and roles in order to successfully coordinate with others and ensure that the division runs smoothly and effectively. Candidates must have strong computer skills and an in-depth understanding of Microsoft Office programs, including Word, Excel, and Outlook. Knowledge of Adobe Acrobat and Microsoft SharePoint is preferred. Experience or interest in law, energy, and/or working in the public interest is also a plus. The successful candidate will be able to demonstrate a connection to the people and communities we serve, and an interest in supporting a respectful and inclusive work environment.
